The first 30 days after the purchase

Whether a customer stays is decided in the first month. The process from sign-up to the monthly review, warning signs and how you support the customer as a partner.

Whether a customer stays is rarely decided in the sales conversation, but in the first weeks afterwards. An agent that takes real calls in the first week and whose summaries land in the inbox becomes part of everyday life. An agent that's still waiting for call forwarding after two weeks gets cancelled. This page shows the process that works and where you step in.

The process

PeriodGoalWho
Day 0Account in place, agent created from a templatecustomer, with you via screen sharing
Days 1 to 3Prompt and knowledge fit, first test in the browsercustomer or you
Days 3 to 7First real call via the familiar numbercustomer with their phone provider
Weeks 2 to 4Fine-tuning from real conversations, team involvedcustomer, you on a weekly basis
Day 30Review, next stepboth of you

1. Day 0: sign-up

  1. The customer signs up via your partner link or enters your partner code, at the latest before their first payment. Only then are they assigned to you.
  2. They choose the plan and payment interval and add their credit card.
  3. They set up two-factor authentication, see Account and security.
  4. They create their first agent from a template, see Getting started.

2. Days 1 to 3: prompt and first test

  • Fill in the parts in square brackets in the prompt: company name, address, opening hours, services.
  • Upload the price list, service description or house rules as a PDF to the knowledge base.
  • Test the agent in the browser and ask the questions that callers really ask.
  • Set up the email after the call so that the team immediately sees what the agent captures.
  • If needed, connect appointments via Cal.com.

3. Days 3 to 7: the first real call

  • Buy a number and assign it to the agent, or connect a SIP number, see Connect a number.
  • Set up call forwarding with the provider. To start with, forwarding when unanswered fits: the team keeps answering when it can, and the agent takes care of the rest.
  • Call the familiar number from another phone and check whether the call appears in the Call History.

4. Weeks 2 to 4: fine-tuning and acceptance

  • Once a week, read five to ten transcripts together. Where did the agent talk too long, ask follow-up questions, not know something?
  • Improve the prompt in small steps, one change at a time, see Writing a good prompt.
  • Sharpen the transfer rules if the customer uses Pro.
  • Involve the team: who gets which email, who calls back, who maintains the prompt.
  • Keep an eye on usage under Usage and talk about the automatic minute packs.

5. Day 30: the review

Sit down with the customer after one month:

QuestionWhere to find the answer
How many calls did the agent take? The Dashboard home page and Call History, see Analytics
Do the allowance and plan fit?Usage and Billing › Minute packages
What couldn't the agent resolve?Transcripts with callback requests or transfers
What comes next?for example a second location, appointments, a webhook into the CRM or campaigns

A plan change applies from the next billing period. Monthly subscriptions renew every month, so the review shortly before the first renewal is the right time.
