The demo that leads to a deal

A first meeting in ten steps, from the goal of the appointment to the live call and the price to signing up together, with preparation and typical mistakes.

At the end of the meeting, you want a customer who's signed up, not one who'll "get back to you". That works if the prospect experiences the agent themselves, gets their questions answered and the next step happens during the meeting, not afterwards.

What makes the difference

Demonstrations that closeDemonstrations that fizzle out
The prospect calls themselves, with their questionsThe partner shows slides and explains features
The agent knows the company name and servicesA general agent with no connection
Price, term and entry are clearThe price comes by email after the meeting
The person who decides is thereThe prospect has to pass everything on internally
The sign-up happens during the meeting"I'll take a look at it in peace"

Before the meeting: plan 45 minutes

  • Build a demo agent with the prospect's details, see Build a customer demo.
  • The dress rehearsal: call once, have it book an appointment, check the email.
  • Note down the trigger, call volume and telephony from the first phone call.
  • Have the price list with its date ready: bhomy.ai/en/pricing (opens in a new tab).
  • Have your partner link at hand.

Plan 45 minutes, even if you only need 30. The meeting doesn't end with the demonstration, but with the sign-up.

The process in ten steps

1. Greeting, goal and decision-maker

"Our goal today: you'll hear your own assistant, we'll answer your questions, and if it fits, we'll set it up together straight away. Do you decide this alone, or should someone else be there?"

2. Business and everyday life on the phone

Have them tell you how the company works and how the phone works today: who answers, when it gets tight, what happens to calls after hours.

3. Problems, bottlenecks and trigger

Get the trigger with figures: missed calls per week, the value of a job, time spent on booking appointments. You'll need these figures in step 7, see Closing.

4. The live call

Give the prospect the number of their demo agent. They call with their mobile and ask the questions their customers ask. Afterwards, you show the transcript, the summary and the email in the inbox.

5. Agree on the first use case

Decide together what the agent takes over first: calls when nobody answers, appointments, calls outside opening hours. One clear first case is better than five half ones.

6. Trust and technology

Answer the checking questions briefly, before they come up:

TopicShort answer
Number and phone systemThe number stays. Call forwarding or SIP, see Connect a number
Data protectionWeb interfaces, data storage and real-time communication in Frankfurt am Main, data processing agreement in German, transcripts deleted after 30 days, no audio recordings, see Hosting and data
AI noticeThe templates contain the notice that an AI system is speaking
Professional secrecyConfidentiality undertaking under Section 203 StGB for professionals bound by secrecy

7. Plan, price and term

State the price clearly, net plus VAT and with the date of the price list. Explain the term: one month or twelve months, depending on the payment interval, renewing for the same period, and cancellable at the end of the current period. Then use the figures from step 3 to show what a missed job costs.

Clarify the setup: does the customer do it themselves, do you take it on as your own service, or do they book a setup package from bhomy?

8. An entry that can be reversed

Some prospects hesitate because they're afraid of losing control over their phone. Suggest an entry that doesn't close any doors: call forwarding only when unanswered. The team keeps answering when it can, and the forwarding can be switched off again with the provider at any time.

9. Sign up together

Share your screen and go through the sign-up with the prospect, via your partner link. That way the assignment is correct, and you can create the first agent straight away. When reselling, you create a customer account in the partner area instead.

10. Next steps with date and purpose

WhatWhen
Set up call forwarding and test it from outsidein the next three days
Read the first transcripts togetherafter one week
Review and next stepafter 30 days

More on this under The first 30 days.

Five patterns that lose demonstrations

  1. The demonstration without a call. A screen instead of a phone doesn't convince anyone.
  2. A general agent. Without the company name and services, the idea stays abstract.
  3. The price at the end as an aside. Unclear costs are a reason to postpone the decision.
  4. No decision-maker in the room. Then you give the same demonstration a second time.
  5. No appointment for the next step. If you part without a date, you lose momentum.
