First contact by phone
How to book a fixed appointment for the demonstration in the first call, with a guide, openers for each occasion, questions about the problem and typical mistakes.
The goal of the first phone call isn't the sale, but a fixed appointment: with a date, a time, the person who decides and a clear purpose. If you explain everything on the phone, you have nothing left to show in the demonstration.
The guide in 60 seconds
| Step | What you say | Goal |
|---|---|---|
| 1. Greeting | name, company, one sentence about the occasion | trust, no sales feeling |
| 2. Permission | "Do you have two minutes?" | attention |
| 3. Problem question | "What happens to calls at your company when everyone is busy?" | find the trigger |
| 4. Bridge | "That's exactly what businesses like yours use an AI phone assistant for." | make the connection |
| 5. Proposal | "I'd be happy to show you using your own example, 30 minutes, Tuesday at 10 or Thursday at 2 pm?" | two specific times |
| 6. Confirmation | appointment, participants, invitation by email | commitment |
Opener by occasion
| Occasion | Opener |
|---|---|
| Your existing customer | "We already look after your phone system. I noticed that nobody answers at your company in the evening." |
| Recommendation | "Ms Berger from the Sommer practice gave me your name. She has been using an AI phone assistant for a few weeks." |
| Event | "We talked briefly at the industry meeting about your calls during the season." |
| Interest via your website | "You looked at our article on the phone assistant and asked for a callback." |
For leads who have already been in contact, for example via your demo assistant, there's a separate Script for inbound leads.
Questions about the problem
A good question gets the other person to describe their problem themselves. Choose one that fits the industry:
- "How many calls do you lose in a normal week?"
- "Who answers the phone when you're at a customer's site?"
- "What do callers do who call after 5 pm?"
- "How much of your team's time does booking appointments by phone take?"
- "What happens when three people call at the same time on a Monday morning?"
Write down the sentence your contact answers with. It's the hook for the demonstration.
A call says more than any explanation
If you've set up a demo assistant, give your contact the number: "After our conversation, call this number once and ask for an appointment." Anyone who has heard the agent themselves comes to the demonstration with specific questions.
Front desk and voicemail
| Situation | What you do |
|---|---|
| The front desk asks what it's about | Brief and specific: "I'd like to suggest an appointment to Mr Kaya about phone availability. When is a good time to call back?" A general sentence without a concern is more likely to end with "not interested" |
| A voicemail answers | Name, company, one sentence about the occasion, callback number. Call again anyway |
| An AI assistant answers | Good for you: the company knows the topic. Leave a clear callback request with the occasion |
Short answers to first objections
| Objection | Answer |
|---|---|
| "Not interested." | "I understand. May I ask how you currently handle calls outside opening hours?" |
| "Send me some documents." | "Happy to. So that they fit: what would you use the assistant for first?" and then suggest an appointment |
| "We already have a phone system." | "It stays. The assistant works alongside it, for example when nobody answers." |
| "Too expensive." | "What does a missed job cost you today?" You state the price in the demonstration, with the date of the price list |
| "No time." | "Then I'll suggest two short appointments, 30 minutes. Which one suits you better?" |
More under Objections.
Five mistakes that end conversations
- Listing features instead of asking about the problem.
- Not suggesting a specific appointment. "Feel free to get in touch" rarely leads to an appointment.
- Talking without the person who decides. Ask early who else should be there.
- Promising more than can be backed up. Only use the approved statements, see Marketing material.
- Talking too long. After two minutes, the other person should have said more than you.
After the call
- Send the invitation with date, time, participants and purpose.
- Build a demo agent with the company's details, see Build a customer demo.
- Note down the company's trigger, call volume and telephony for the demonstration, see Qualifying.
