Appointment Booking Setup
Book appointments inside the voice call: query Cal.com, Google, and Outlook calendars and reserve free slots automatically.
One of the most popular BHOMY workflows is automated appointment booking. Your AI agent checks real-time calendar availability and books appointments during the call.
Connect Your Calendar
BHOMY integrates with Cal.com for seamless appointment booking. Cal.com checks real-time availability and books appointments automatically.
Go to Workflows → "Appointment Booking" → "Connect Calendar" and follow the prompts.
Setting Availability
Configure when appointments can be booked:
- Available days — Monday to Friday, weekends, specific days.
- Time slots — Start time, end time (e.g., 9:00 AM - 5:00 PM).
- Slot duration — 15, 30, 45, or 60 minutes.
- Buffer time — Gap between appointments (e.g., 15 minutes).
- Advance booking — How far in advance appointments can be booked.
Booking Flow
Here's what happens during a call when a caller wants to book:
- AI agent asks for the caller's preferred date and time.
- Agent checks real-time calendar availability.
- If the slot is open, agent confirms the booking.
- A calendar event is created with all relevant details.
- A confirmation SMS or email is sent to the caller.
Custom Booking Fields
The agent collects these fields during booking:
- Name (required)
- Email (optional)
- Phone (auto-captured)
- Reason for visit (optional, customizable)
- Notes (optional)
Confirmation Messages
Configure automatic confirmation messages via SMS and/or email. Include appointment details, location, and any preparation instructions.
Rescheduling & Cancellation
Callers can also reschedule or cancel existing appointments. The agent verifies the caller's identity, finds the existing appointment, and makes the requested changes.
Timezone Handling
BHOMY automatically detects the caller's timezone based on their phone number area code and adjusts availability accordingly. You can also set a fixed timezone for your business.
